General Data Protection Regulation - (GDPR) and Data Protection Act 2018 (DPA) 18

To Whom It May Concern

Due to the incoming General Data Protection Regulations which come in to force on the 25th May 2018 we need to inform you of what data we collect and how the data is stored and handled. This will ensure that we are compliant with the new regulations.

In order to provide our goods and services, we need to collect the following information:

  • Company addresses
  • Company names
  • Contact Phone Numbers
  • Individual Employee Names
  • Contact Fax Numbers
  • Email addresses
  • Client customer details (for contact and delivery of goods/services only)
  • Client site details (for contact and delivery of goods/services only)
  • Credit check (for new Ltd company customers once an order is placed and periodically as required)

The data is gathered from incoming enquiries and in the delivery of our goods and services. All data (company and personal) is stored on our remote cloud based computer system (currently hosted by Dropbox, which is fully encrypted to the highest industry standards). Hard copy documents, where they exist, are stored in our office and file rooms which are protected by security alarms and CCTV.

We stress that your information will only be used for the processing of quotations and orders and for the preparation of H&S documents such as risk assessments and method statements. We will rarely use basic information for marketing purposes. We will not transmit your information to other parties, unless it is required to fulfil your request for a quotation, to complete an order, or we are legally obliged to do so. Data disclosures will only be relevant to the requirement of the quotation or order.

During processing orders, we may be required to send data to 3rd parties, these include but are not limited to:

  • Credit check companies (Ltd company information only, personal credit checks are not completed)
  • Courier/transport/hire services
  • Health & Safety advisors

Any information passed on to these 3rd parties will be conducted within the GDPR guidelines and will only be relevant to the requirements of providing our goods and services.

We will never sell your information to 3rd parties.

All data stored is reviewed and is only stored for as long as necessary, personal data is never stored for more than 7 years. Digital data is permanently deleted from our computerised system, hard copies are either shredded on site, or collected and disposed of by a PCI DSS Level 1 data disposal service provider.
